This policy explains how Tech Pro 247 uses personal information when you browse our website, contact us, request a service, make a repair booking or submit a Computer Buyback request.
1. Who is responsible for your information
Tech Pro 247 LTD is registered in England and Wales under company number 14721998. We are the controller for personal information that we use for our own booking, enquiry, service, billing, security, fraud-prevention and legal purposes.
Our business address is:
First Floor Office 1, 64 Wellington Road, Hampton Hill, TW12 1JT.
For privacy questions or requests, contact services@techpro247.co.uk or 020 7998 6930.
When a business customer asks us to handle personal information on its device or system solely under its instructions, we may act as its processor for that information. Section 10 explains this distinction.
2. Information we may collect
Depending on how you use our website and services, we may collect:
- your name, email address, UK mobile number, customer address, service address and business name;
- booking, appointment, collection, service and contact preferences;
- enquiry type and message;
- device type, manufacturer, model, specification, serial or asset number, accessories, reported fault and condition;
- buyback asking price, device photographs, ownership declarations, inspection findings, offers, acceptance and payment records;
- repair intake, diagnosis, authorisation, quotation, job, invoice, warranty and complaint records;
- the policy versions, fingerprints and times connected with an acknowledgement, and your separate optional marketing choice;
- staff actions, status history, internal notes and notification-delivery state; and
- limited technical and security information needed to operate forms, prevent duplicate or abusive submissions and protect the website.
A device may contain personal information belonging to you or someone else. Do not put passwords, recovery keys, identity documents, payment-card details, alarm codes or sensitive file contents into a public form.
3. Why we use information
We use personal information for the following purposes and legal bases:
- Enquiries and requests: to respond to you and take steps you ask us to take before a possible repair, support service or buyback arrangement. We rely on steps requested before a contract and, where no prospective contract exists, our legitimate interest in answering genuine enquiries.
- Bookings and services: to create, review and administer a booking, provide an agreed service, arrange collection or return, prepare quotations and invoices, and send service messages. We rely on contract or steps requested before a contract.
- Computer Buyback: to assess a request, inspect a device, check ownership or locks, make and record offers, record acceptance and administer payment. We rely on contract or steps requested before a contract, legitimate interests in preventing fraud and keeping transaction evidence, and a legal obligation where a specific record is required.
- Business records: to keep accounting, tax, regulatory, safety and transaction records. We rely on legal obligations and legitimate interests where appropriate.
- Security and legal protection: to prevent duplicate or abusive submissions, control staff access, protect the website, investigate incidents, and establish, exercise or defend legal claims. We rely on our legitimate interests in security, service integrity and legal protection.
- Optional marketing: to send marketing by email or text where you have made a separate, voluntary choice. We rely on consent unless another lawful electronic-marketing route applies and is clearly explained.
A required Privacy acknowledgement records that this notice was presented. It does not make consent the legal basis for every operational use. Optional marketing remains separate and does not affect a service request.
Where we rely on legitimate interests, we consider whether the use is necessary and balance our interests against your interests, rights and freedoms.
4. Required and optional information
Forms identify required and optional fields. Some contact, address, booking and device details are needed to assess a request, contact you, identify property, arrange a service or keep a transaction record. If you do not provide a required item, we may be unable to process that request.
Where a service location differs from your customer address, we use the service address to assess and arrange the requested collection or on-site work. A valid postcode format does not prove that an address exists or that the address is eligible for a service. Staff confirm arrangements manually.
5. Photographs, serial numbers and ownership checks
Buyback photographs and device identifiers may contain personal or commercially sensitive information. Photograph only the device and relevant condition. Avoid screens, documents, faces, unrelated labels and backgrounds that reveal private information.
We use serial numbers and ownership-check results only where needed to identify a device, administer a repair or warranty, prevent fraud or complete an approved buyback.
Do not upload identity documents through a public form. If a proportionate identity or ownership check is necessary at drop-off, we will explain what we need and why. We aim to record the minimum result needed rather than keep a copy where that is not necessary.
Information suggesting that a device is lost, stolen or connected with an alleged offence receives restricted handling. We collect or retain such information only where an applicable legal basis, condition and safeguard permits it.
6. Who receives information
Authorised Tech Pro 247 staff receive the information needed for their role. We may use service providers for:
- website, WordPress, database and backup hosting;
- business email delivery;
- IT support and security;
- accounting and professional advice;
- an agreed collection or specialist service; and
- secure data recovery or erasure work where you have approved a specialist referral.
Where we use a provider, we limit the information made available to what is needed for the agreed task. Before that provider handles customer information for us, we require appropriate contractual and security arrangements for the processing concerned.
We may disclose information where required by law, to a regulator or law-enforcement body with lawful authority, or where necessary to establish, exercise or defend legal claims.
7. International transfers
Some service providers may process information outside the United Kingdom. Where this happens, we use the applicable UK adequacy arrangements, approved safeguards or another lawful transfer mechanism. You may contact us for information about the safeguard relevant to your information.
8. How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected, a legal or accounting requirement, warranty and complaint handling, safety, fraud prevention, or the establishment or defence of legal claims.
The period depends on the record and the outcome of the request. We consider separately:
- abandoned enquiries and security records;
- pending, declined, cancelled and completed bookings;
- repair, quotation, invoice, payment and warranty records;
- buyback photographs, rejected requests, inspection, ownership and payment records;
- email messages and delivery records;
- customer-device data and temporary recovery copies;
- backups and audit histories; and
- marketing consent and suppression records.
Where information is eligible for deletion or anonymisation, we apply that decision to active systems and handle backup copies through their protected retention cycle. We do not invent information or acknowledgements for historical records that did not originally contain them.
9. Security
We select organisational and technical measures that are proportionate to the information and risk. Depending on the processing, these measures may include role-based permissions, staff authentication, server-side validation, output escaping, protected storage, access restrictions, audit history, controlled email delivery and backups.
Access is limited to people who need the information for their work. No organisation can promise absolute security, but we review access, incidents and supplier arrangements and take appropriate action when risks are identified.
10. Information on customer devices
We minimise access to information stored on a device. If access is genuinely needed for an agreed diagnosis, repair, recovery or erasure service, we will explain the purpose and agree an appropriate handover method.
Tech Pro 247 is a controller for its own booking, billing, security, fraud-prevention and legal records. If a business customer determines why and how we handle other people’s information on its behalf, that customer remains the controller and we act only on documented instructions under appropriate data-processing terms.
Our Data Recovery and Secure Erasure Policy explains how we approach source media, temporary copies, recovery results and erasure records.
11. Service messages and marketing
Booking acknowledgements, appointment changes, repair updates, enquiry acknowledgements and buyback decisions are service messages. They are separate from optional marketing.
Marketing choices are voluntary, separate and unchecked by default. You may withdraw consent or object to direct marketing at any time. We may keep a limited suppression record so that we continue to respect that choice.
12. Your rights
Depending on the circumstances and legal basis, you may have rights to:
- be informed about how your information is used;
- access your personal information;
- correct inaccurate information;
- ask for information to be erased;
- restrict processing;
- receive portable information;
- object to processing; and
- withdraw consent where consent is the basis.
These rights are not absolute. For example, we may need to retain information required by law or needed for a legal claim. You have an absolute right to object to direct marketing.
Contact us using the details in section 1. We may ask for proportionate information to verify the request before disclosing or changing personal information.
13. Complaints
We would welcome the opportunity to address a privacy concern. You may also complain to the Information Commissioner’s Office at ico.org.uk.
14. Cookies and analytics
The website may use cookies or similar technologies for security, sessions, form operation and preferences. A page may also load content supplied by another provider, such as a customer-review service, which can create a connection to that provider.
Before we use non-essential storage or access on a user’s device, we will assess the applicable rules and provide the information and choice required for that technology. Our cookie information will identify the technologies that are active at the time. You may contact us for current details.
15. Changes to this policy
We may update this policy prospectively. A later update does not rewrite the policy version, fingerprint or wording connected with an earlier booking, enquiry or buyback acknowledgement. Where required, we will bring a material change to the attention of affected people.
